1. What DocDairy is
DocDairy is a web-based herd-management service for dairy farms, operated by DocDairy ("we", "us"). It provides herd records, milk production and quality tracking, breeding and health management, task management, financial insight and related tools, accessible at app.docdairy.com and via the installable barn-mode web app. By creating an account or using the service you agree to these terms.
2. Accounts and trials
Each farm receives its own isolated account and database. You are responsible for keeping login credentials confidential and for activity under your accounts. Trial accounts are free, time-limited (typically 7 days unless agreed otherwise) and require no payment card; when a trial ends, access is locked but your data is not deleted — converting to a paid plan restores full access.
3. Fees, billing and payment
Paid plans are billed per farm at the prices published on our pricing page or as individually agreed in writing. One-time services (onboarding, data import, custom integrations) are invoiced separately. Card payments are processed by Paddle (paddle.com), who acts as our merchant of record: Paddle handles the checkout, your payment details, applicable taxes (such as VAT or sales tax) and payment receipts. We never see or store your card details. Invoices may also be settled by bank transfer where agreed.
4. Refunds and cancellation
You may cancel at any time with effect from the end of the current billing period — no notice period, no cancellation fee. If DocDairy materially failed to work for you, contact us within 14 days of the charge at info@docdairy.com and we will refund that charge. Refunds for card payments are issued through Paddle. Fees for one-time services already delivered (e.g. a completed data import) are non-refundable.
5. Your data is yours
All farm records you enter remain your property. You can export your complete farm data to CSV at any time, free of charge, from within the application. After cancellation we retain your data for 90 days (so you can return or export), then delete it on request or per our routine schedule. We never sell your data or use it for anything other than operating the service.
6. Acceptable use
You agree not to misuse the service: no unauthorised access attempts, no reselling without a written agreement, no unlawful content, and no use that disrupts the service for others. We may suspend accounts that endanger the platform or remain unpaid after reasonable notice.
7. Availability and support
We operate the service with care (nightly backups, monitoring) but provide it "as is" without a formal uptime guarantee on standard plans; Enterprise agreements may include an SLA. Support is available in-app (Support section) and by email; we aim to respond within one business day.
8. Liability
To the maximum extent permitted by law, our total liability arising out of the service is limited to the fees you paid us in the twelve months preceding the claim. We are not liable for indirect or consequential losses. Nothing in these terms limits liability that cannot lawfully be limited. The service supports your farming decisions but does not replace veterinary or professional judgement.
9. Changes
We may update the service and these terms; material changes will be announced in the app or by email at least 14 days before taking effect. Continued use after that constitutes acceptance. Price changes never apply retroactively to an already-paid period.
